Zoom for LawOffice.AI
Create Zoom meetings for case events and scheduled appointments without leaving your case file. Each member connects their own Zoom account; meetings are hosted by the member the event is assigned to.
Overview
The Zoom integration lets a LawOffice.AI member attach a Zoom meeting to a case event (a court appearance, deposition, consultation or any other event on a case) and to appointments booked through their public scheduling page. The meeting is created on the member's own Zoom account through Zoom's API, and the join link is stored on the event, written into the calendar invitation, and shared with attendees. LawOffice.AI never joins, records or reads your meetings.
Prerequisites
- A LawOffice.AI account with access to cases. Every member who will host meetings connects Zoom individually.
- A Zoom account (Basic, Pro, Business or Enterprise) that is allowed to install Marketplace apps. If your Zoom administrator restricts app installs, ask them to pre-approve LawOffice.AI in the Zoom App Marketplace.
- Optional: a connected Google or Microsoft 365 calendar, so the Zoom link rides on the calendar invitation sent to attendees.
Adding the app
- Sign in to LawOffice.AI at app.lawoffice.ai. If you are not signed in, you will be asked to sign in first and then returned to the Integrations page.
- Open My Account › Integrations (your avatar in the top bar, then Integrations).
- In the Zoom card, click Connect Zoom.
- You are redirected to Zoom. Sign in to the Zoom account you want to host meetings with, review the requested permissions and click Allow.
- Zoom sends you back to LawOffice.AI. The Zoom card now shows Connected with the email address of the Zoom account.
The connection is personal: it belongs to your LawOffice.AI member profile and is used only for events assigned to you and for your own scheduling pages. Other members connect their own Zoom accounts.
Using the app
Zoom meetings on case events
- Open a case and go to Case Events, then New Case Event (or open an existing event to edit it).
- Set the date, time and Assigned To. The Zoom meeting will be hosted on the assigned member's Zoom account, so that member must have Zoom connected.
- In the Video Conference options choose Zoom. If the assigned member also has a Google or Microsoft calendar connected, Zoom appears as a choice inside the Calendar Invitation card instead; otherwise check Create a Zoom meeting.
- Click Save. LawOffice.AI creates a scheduled Zoom meeting matching the event's start time and duration, named after the event type and the case file number.
- The join link appears in a banner at the top of the event. It is included in the calendar invitation sent to attendees, or you can send it with the Email button in the event footer.
A case event keeps one meeting. Reopening the event reuses the stored link rather than creating a second meeting.
When a meeting is deleted from Zoom
LawOffice.AI removes the Zoom meeting from the host's account, and cancels the matching calendar event, when:
- the case event's Status is changed to Deleted or Withdrawn (case events are not hard-deleted; the status is the delete),
- the event is reassigned to a different member, or the assignment is cleared (the meeting cannot be started without its host; the new assignee gets a fresh meeting on their own account), or
- a booking made through a scheduling page is canceled.
You are asked to confirm before saving in each case. Deleting the meeting in Zoom first is fine too: LawOffice.AI treats an already-removed meeting as deleted.
Zoom on scheduling pages
- Open My Account › Scheduling and edit or create a booking page.
- Under How the meeting happens choose Zoom. The option is available once Zoom is connected.
- When a client books a time, a Zoom meeting is created on your account. The link goes into the calendar event and into the confirmation email sent to the client.
Rescheduling
Changing a case event's date or time updates the calendar event. The Zoom meeting keeps its original scheduled time but the join link stays valid; Zoom scheduled meetings can be started by the host at any time, so the link in the invitation continues to work.
Troubleshooting
- "Zoom is not connected for the assigned member." The member assigned to the event has not connected Zoom, or their connection expired. That member opens My Account › Integrations and clicks Connect Zoom (or Reconnect).
- The Zoom card says "Reconnect". Zoom revoked or expired the connection (for example the Zoom password was changed, the app was removed from the Zoom side, or the account was deactivated). Click Reconnect and authorize again. Existing meeting links are unaffected.
- "Zoom meeting created" but no link in the invitation. The Zoom meeting is created before the calendar invitation is sent. If the calendar push failed (expired Google or Microsoft connection), reconnect that calendar under Integrations and save the event again; the stored Zoom link is reused.
- Zoom shows "This app is not approved by your admin". Your Zoom administrator must pre-approve LawOffice.AI in the Zoom App Marketplace under Admin › App Marketplace, or allow users to install apps.
- Connection failed with an error code after returning from Zoom. Try Connect Zoom again. If it repeats, send the code shown in the message to support@lawoffice.ai.
Removing the app
Disconnect from LawOffice.AI (recommended)
- Open My Account › Integrations.
- In the Zoom card click Disconnect and confirm.
LawOffice.AI revokes its Zoom access token with Zoom and deletes the stored access and refresh tokens, your Zoom user id and the Zoom email address from your member profile. The card returns to Connect Zoom.
Remove from the Zoom App Marketplace
- Sign in to marketplace.zoom.us.
- Click Manage and then Added Apps, or search for LawOffice.AI.
- Click Remove next to LawOffice.AI and confirm.
Zoom notifies LawOffice.AI of the removal. The stored tokens are deleted on our side the moment the notification arrives, and the Integrations page shows the connection as needing to be reconnected.
What happens after removal
- No new Zoom meetings can be created for events assigned to you, or for bookings on your scheduling pages, until you connect again. Events still save normally without a meeting.
- Meetings already created remain on your Zoom account exactly as they were. LawOffice.AI does not delete them on disconnect, and their join links in existing invitations keep working. Remove any you no longer need from your Zoom account.
- Case events keep the join link that was stored on them, so your records stay complete.
- No Zoom data is retained by LawOffice.AI after disconnect other than the join links stored on your own case events. Disconnecting does not affect your Google or Microsoft connections.
Data and permissions
LawOffice.AI requests these Zoom permissions, and nothing else:
- View your user profile (
user:read:user): read your Zoom email address and user id when you connect, so the Integrations page can show which account is connected and so a removal from Zoom's side can be matched to your profile. - Create meetings (
meeting:write:meeting): create a scheduled meeting on your account for a case event or a booking. - Delete meetings (
meeting:delete:meeting): delete a meeting LawOffice.AI created when its event is marked Deleted or Withdrawn, reassigned, or when a booking is canceled.
We store the join link of each meeting on the case event or booking it belongs to, and the tokens needed to act on your behalf, encrypted at rest. We do not access meeting recordings, transcripts, chat, participants or any meeting not created by LawOffice.AI. See the privacy policy and security overview.
